API integration connects systems, but a dependable integration needs more than a successful request. It must preserve the right records, handle failures and provide a way to investigate problems. Plan these details before connecting your website to payments, a CRM or messaging providers.
Identify the source of truth
Choose which system owns each record and field. A customer phone number may be edited in the CRM, while an order status comes from an order management system. Without ownership rules, two-way synchronisation can overwrite valid changes or create loops.
Map identifiers carefully. Names are rarely dependable unique keys. Agree how records are matched and what happens when a new record cannot be linked to an existing one.
Define events and timing
Specify whether updates happen immediately, on a schedule or after an approval. A webhook can notify another system of an event, but delivery may be delayed or repeated. The receiving system should be designed to handle those possibilities.
Document the events that matter, such as a paid order, changed address or new lead. Avoid transferring every field simply because the API makes it available.
Treat errors as normal operating conditions
Providers can time out, reject a request or limit usage. Decide which failures can be retried, which need a person and how staff receive alerts. Retrying a payment or record creation without safeguards can produce duplicate actions.
Maintain useful logs while avoiding unnecessary sensitive data. A support team needs enough detail to find the failed event and understand what has already happened.
Plan access and provider requirements
Use authorised accounts and restrict credentials to the necessary permissions. Confirm who owns each provider account and who will rotate access when needed. Third-party approval or setup can affect the schedule even when the code is ready.
WhatsApp Business API messaging is different from a simple chat link. Automated messaging may require account setup, approved templates and consent handling according to the provider’s requirements.
Test reconciliation and handover
Test duplicates, missing fields, refunds and out-of-order updates using representative scenarios. Compare records across systems to confirm the final state, not just the first API response. Document a recovery process for exceptions.
Your integration brief should name the systems, data direction, events and operating responsibilities. Inova Tech Solution can review feasibility and scope a connection that includes monitoring and recovery as well as the initial data flow.
